Terms and conditions

By using this site you are agreeing to the terms and conditions.

Using Edinburgh Collected, in brief:

  • you will need to sign up for an account to add memories or make scrapbooks
  • you can browse, share and comment on content without signing up for an Edinburgh Collected account
  • of your personal details, only your display name will be made public
  • to add comments to memories you can login to your Edinburgh Collected account or will be asked to provide your email address
  • new content added to the site will be reviewed before it is made public
  • if you choose to edit content that has been approved and made public, it will be taken offline and you will need to resubmit it for review
  • by adding content to the site you are agreeing to its non-commercial reuse.

Browsing

You can browse the site without signing up for an account.

Your account

To add memories or make scrapbooks you will need to sign up for an account. You must provide accurate and current information about yourself and undertake to keep this information up to date. You’re required to supply your name, email address and a display name. This information will be stored securely. Only your display name will be made public on the website.

You must keep your user account information safe and confidential as you will be responsible for all activities that occur under your account.

We will only ask for information necessary for you to register on this system and will only use it to contact you about Edinburgh Collected or other Edinburgh Libraries’ services.

Please be aware that using the site and uploading all content will use the data allowance for your mobile device if not connected to wifi.

Groups

Groups, e.g. local history societies, community groups and school classes, are welcome to sign up for an account. A member of the group will be responsible for the account login details and giving permission to other users to add material for the group. The group administrator will be responsible for giving and withdrawing access.

Advice for parents and guardians

Parents and guardians who wish to allow their children to use Edinburgh Collected should assist them in setting up accounts and supervise their access.

User conduct

You are responsible for all content you add to the site. By signing up for an account you agree not to add content that

  • infringes any laws e.g. copyright or privacy laws
  • is obscene, threatening, violent, abusive, harmful to others, invasive of another’s privacy, hateful, harassing, discriminatory, poses a risk to individual safety or is otherwise objectionable
  • is spam, advertising or commercial messages. Commercial artists e.g. photographers, graphic artists who add content in the spirit of the site may link to their websites but not include commercial messages in their user profile.
  • disrupts or impairs the normal operation of the site
  • identifies others without their permission.

Review of content

Contributors can add content and save as draft. Draft memories and scrapbooks are private and only visible to the contributor from their My account area or to site administrators.

Once submitted for review, memories and scrapbooks are checked by site administrators. We aim to review content as soon as possible after it is added.

Once a memory is approved and public, it can be included in other users’ scrapbook(s) on the site.

Unsuitable content (see User conduct) will not be made public on the site.

The site administrator can block account holders who add unsuitable content from using the site.

We may not publish content where we think it poses a risk to individual safety.

User accounts with no memories or scrapbooks attached will be deleted after 6 months.

To ensure a satisfying user experience for all users, scrapbooks must have a title, description and 6 memories before they can be submitted for review and made public.

Scrapbooks approved before 27 March 2023 may be published with fewer than 6 memories or no description. If one of these scrapbooks is subsequently edited, it will be subject to the current mandatory scrapbook criteria before it can be resubmitted for moderation.

We reserve the right to edit contributor content including profile page information.

Historic content

Some of the content on this website may be controversial or cause offence, being reflective of attitudes or culture from the past. This material is presented as part of the historical record, and to represent all sides of Edinburgh’s story, so that by learning from our past we can address our present and future.

Comments

Users can add comments related to their and other users’ memories. The site has an in-built comments facility. Post comments by signing into your Edinburgh Collected account or with your name and email address. Users can also report other comments if they are a cause of concern. Comments posted on the website before 27 March 2023 have not been retained.

Edinburgh Collected provides links to external websites. Listing of websites and links to them should not be taken as an endorsement of any kind. We do not accept responsibility for the content or reliability of the linked websites, nor do we accept any liability for their accuracy or content. If you see any external links that do not work, please contact informationdigital@edinburgh.gov.uk

Intellectual property (IP)

By adding memories, account holders are agreeing that they own this content and/or have permission to use it. Account holders must not add images of others without their permission.

The City of Edinburgh Council claims no ownership or rights over material added, this remains with the account holder who can delete their content and account at any time. By submitting content, account holders are agreeing to the Creative Commons licence of Attribution-NonCommercial-ShareAlike.

You are agreeing that content added can be reused for personal, educational and non-commercial purposes. The following examples of potential use are by way of illustration, and are not a complete list:

  • printing of content
  • downloading of content
  • reuse by the City of Edinburgh Council to promote its heritage collections
  • addition to Edinburgh Libraries’ online channels www.capitalcollections.org.uk or www.ourtownstories.co.uk or any future online channel developed by Edinburgh Libraries
  • reuse by other online channels e.g. local history websites, social media channels
  • reuse by others to create new non-commercial digital products.

Fair processing statement

You can view Edinburgh Collected without registering for an account. We request personal information from you when you register to give you access to additional features. Your information will be used to manage your account.

In processing personal information, The City of Edinburgh Council must comply with the UK General Data Protection Regulation (UK GDPR), and the Data Protection Act 2018. Personal data will remain within the UK.

City of Edinburgh Council will only use the email you have supplied on registration to send routine email communications related to your content, and on occasion, to alert you to information that may affect your use of Edinburgh Collected e.g. system interruptions, prompts to check and update your personal data. (You can opt out of routine email communications from your profile page at any time.)

Data is shared with Pooka & Co Ltd. in their role as data processer. Pooka & Co Ltd. will not view client data or digital assets except as necessary on a need to know basis in the course of development or support.

You can delete your account and content via the Edit profile page in the My account area or by contacting informationdigital@edinburgh.gov.uk. We encourage any contributors wanting to delete their account to opt to transfer their content to the Edinburgh Collected Community Archive administrative account permitting us to keep their pictures and memories online for other people to enjoy.

Disclaimer

Edinburgh Libraries makes every effort to ensure the accuracy of the information on this website but cannot accept responsibility for any errors or omissions.

City of Edinburgh Council (CEC) will undertake to provide secure storage for all the content added. You will however be responsible for making and keeping copies of any content that you add to Edinburgh Collected.

CEC will not be held responsible for any loss, damage, or inconvenience arising in any way whatsoever from the use of this website.

CEC will not be liable if for any reason Edinburgh Collected is unavailable.

Changes to these terms

CEC may update these “terms and conditions” in the future for various reasons, including the addition of new features and in response to changes in relevant legislation.
